Document Manager



As well as adding documents to individual courses and events it is now possible to add common documents to a central repository and make them available to candidates under specific circumstances.

You can control access to a document at the following levels:
  • Individual candidates
  • Candidates who are registered on a given award
  • Candidates who hold a given award
  • Candidates who have registered on a given award AND booked on a course
  • Staff who work for providers able to deliver a given award
  • Managers who work for providers able to deliver a given award
  • Candidates who have booked a course for a given award course (module)
  • Directors who are able to deliver a given award course
  • Everyone (public)
You also have the option of setting expiry dates on your documents. This feature is perfect for sharing course material that is the same for all courses irrespective of provider. At the moment this feature is only available to awarding bodies, however it will also become available to providers and associations at a later date.


How it works


To manage documents go to the admin area and select Documents from the left hand menu, this will show a list of your current documents and gives you the ability to upload a new document. Newly uploaded documents are not visible to anybody unless you select 'Make Public' at the time of uploading.

Once you have uploaded a document you can use the sharing options to distribute the document.

Clicking on 'Candidates' will allow you to share a document with individual candidates. We also plan to give you the ability to share with candidates based on a custom report or csv upload.

Click 'Add Candidate' to start your search for a candidate to share your new document with.

You can now use the search filters to ensure that you find the correct correct person and, if you wish, you have the option of setting a date that this share will expire. If you set an expiry date the document will no longer be visible to that individual candidate after that date but it will still be visible to anyone else that is eligible to view it.

Then just click the ‘+’ button.

You can also share the document with candidates based on their relationship to given awards by clicking on the 'Award' share button:

Now click 'Add Award'.

You can then select from various options as well as search and filter for the correct award. You can only add one award at a time.

  • If you select 'Registered Candidates' the document will be visible to any candidate registered on the selected award.
  • If you select 'Awarded Candidates' the document will be visible to any candidate who has successfully completed the selected award.
  • If you select 'Booked Candidates' the document will be visible to any candidates who have registered on the award and booked on a course.
  • If you select 'Provider Staff' the document will be visible to any candidates who work as staff of a provider that has the ability to deliver the selected award - i.e. if the provider has a status for this award.
  • If you select 'Provider Manager' the same rules apply as for Provider Staff but the candidate must also be a manager of that provider.
  • You can also set an expiry date after which time this rule will be disabled. Once you have chosen your options click the '+' button beside the award you want to share the document with and the rule will be added.

You can also set sharing rules based on award courses (modules). If you want to share a document with directors this is where you can set these rules:

This works the same as the Award sharing rules except that the available options are slightly different.

  • If you select 'Booked Candidates' this document will be shared with candidates who are booked on a course with this award course (module).
  • If you select 'Provider Directors' this document will be shared with any candidates who have a directorship for this award course.
  • Again, you can also set an expiry date for the rule and edit the details from the list.
